How do I sync Airbnb and Vrbo calendars without trusting them blindly?
Test Airbnb and Vrbo availability in both directions, understand iCal delays, and give your co-host a practical calendar-exception and collision workflow.
Short answer: Connect and test both calendar directions, assign one person to availability exceptions, and keep a collision response plan. iCal imports are delayed availability feeds—not real-time booking protection. A direct software connection can manage more information, but no connection justifies a guarantee against double bookings.
This playbook is for owners delegating a two-channel property. It is not another invitation guide: Airbnb access and Vrbo access come first.
What each receiving platform actually promises
Airbnb says external calendar imports update automatically every three hours and can be refreshed manually. That describes Airbnb receiving another calendar, not another platform receiving Airbnb. Different imported feeds may refresh at different times. Airbnb calendar synchronization.
Vrbo’s import guidance says initial imported events may take up to 20 minutes to appear; its app instructions describe 30-minute syncing. Do not turn the initial-import delay into a guaranteed ongoing response time. Vrbo describes up to five imported calendars per property and a 365-day horizon; imports are not available for properties managed through third-party property-management software. Check the actual management mode before trying to add a dashboard feed. Vrbo iCal import instructions.
| Direction | Method | Receiving behavior to verify | Person accountable |
|---|---|---|---|
| Vrbo → Airbnb | Imported iCal | Airbnb’s documented three-hour update/manual refresh | Named booking coordinator |
| Airbnb → Vrbo | Imported iCal | Vrbo’s documented import/refresh behavior; actual management mode | Same coordinator plus backup |
| PMS → each channel | Supported software connection | Provider/channel-specific connection status—not iCal timings | Software administrator and owner |
Software connections can also control prices and settings, depending on the connection. Do not infer that an iCal import carries rates, minimum stays, guest messages or every block type. Airbnb software connection guidance.
Approve one availability source of truth
Write down each property’s listing ID, time zone, calendar source, connection method and backup contact. If a PMS controls availability, changes should follow that system’s supported workflow. If the channels import each other directly, name who enters owner stays and maintenance blocks and who checks that they arrive.
Calendar-feed URLs can expose availability information. Keep them in the restricted property file; do not post them in public screenshots or send them to an unverified vendor. Your co-host does not need the owner’s password to perform a properly permissioned workflow.
Test both directions without buying or cancelling a stay
- Pick distant, unbooked dates that the owner approves for a brief test.
- Save a clearly labelled manual block in the designated source. Record the time and selected listing.
- Verify the matching destination listing, refresh where supported, and record when the block is actually visible.
- Repeat in the opposite direction if using two-way iCal. Do not assume one successful direction proves the other.
- Remove the test block and confirm the dates reopen in both places. Record the completion time.
- Check an existing reservation and a genuine cancellation as read-only examples. Never cancel a guest merely to test syncing.
- Test owner-stay and maintenance-block behavior separately; an imported reservation test does not establish every setting’s semantics.
- Compare the booking horizon and same-day availability rules. Save screenshots without private feed links or guest details.
Acceptance: the coordinator and backup can show both blocking and reopening evidence. “The URL saved successfully” is not the same result.
Give exceptions a named owner
Use a simple record: date range, source listing, destination listing, source event, last refresh, discrepancy, responsible person, next action and closure proof. Check when a booking, cancellation, owner stay or maintenance block changes availability. Any periodic review schedule is an owner-set control, not a platform guarantee or a Vacohost monitoring promise.
Be especially cautious about last-minute bookings while delayed feeds catch up. An API-based connection may be appropriate when iCal is too limited; evaluate supported channels, failure alerts and provider terms rather than assuming “channel manager” means instant prevention.
If two guests appear to have the same dates
Stop selling the affected dates across the actual sources of truth. Confirm reservation IDs, status, dates and time zone—an inquiry or pending request is not necessarily a confirmed booking. Preserve the timeline and contact the owner and relevant platform before promising a cancellation, refund or relocation. Do not delete evidence or decide arbitrarily which guest loses the stay.
The co-host can coordinate communication; the owner decides authorized spending and remedies, subject to platform rules and guest rights. A person may need to attend locally if guests are already at the property. Use the refund approval matrix instead of improvised compensation.
Hand off the work, not the responsibility
If you want two-channel guest coverage and vendor coordination, review Airbnb + Vrbo Coverage and compare costs. Calendar syncing is an operational benefit, not a no-double-booking guarantee. Keep owner decisions, pricing and local response arrangements explicit.
