How do I compare true Airbnb and Vrbo payouts after fees?

Match reservation charges, platform deductions, refunds and payout batches to the bank, then separate operating contribution from revenue and cash flow.

Short answer: Reconcile actual reservation statements to payout batches and bank deposits, then deduct operating costs once. Guest checkout total, host revenue, platform payout and property profit are different numbers. Compare the same reporting basis and fee components across channels.

This article reconciles completed activity; it does not announce platform fee changes or forecast revenue. See Airbnb fees and Vrbo host fees for policy context.

    Choose the reporting basis first

Define the date range, time zone and currency. A stay-date report and a payout-date report can legitimately differ because cash moves at another time. Do not diagnose a missing booking by comparing different periods. Use this checklist to organize the evidence; your bookkeeper/CPA determines accounting and tax recognition.

Airbnb’s earnings tools provide paid/upcoming information, filtering and downloadable reporting. Airbnb earnings reporting. Vrbo’s payout summary supports date-range review; its guidance distinguishes owner-remitted versus platform-remitted taxes and excludes unretained refundable deposits. Vrbo payout summary, read the report.

    Build a reservation-to-bank waterfall

Field What to record Common mistake
Host charges Rent, cleaning, pets and other owner charges Treating guest platform fees as owner revenue
Taxes Platform-remitted and owner-remitted amounts separately Deducting tax already excluded or spending tax you must remit
Platform deductions Actual commission/processing/other statement charges Substituting a generic headline percentage
Refunds and adjustments Transaction amount/reference and status Deducting the same refund twice
Co-host payout/withholding Actual deducted amount and reason Deducting it again from an invoice
Payout ID, date, currency and grouped/split reservations Expecting one deposit for every reservation
Bank Cleared amount/date and remaining variance Confusing pending with cleared cash

Use reservation IDs, not guest names, in the reconciliation sheet. Match split or grouped payouts to their batch IDs. Keep detailed guest information private and give the coordinator only the report access needed.

    Worked example with explicit assumptions

Assume USD rent $2,000 plus cleaning $200 = $2,200 host charges. Assume the actual statement contains $330 platform deductions and a $100 refund. There are no owner-remitted taxes, co-host deductions, withholding, deposits, currency changes or other adjustments in this example. The $330 is an assumed statement amount—not a universal Airbnb or Vrbo rate.

    Step Amount
    Host charges $2,200
    Less actual platform deductions −$330
    Less refund −$100
    Expected payout $1,770
    Bank-cleared deposit $1,770
    Unexplained variance $0
    Cleaner invoice −$180
    Supplies −$40
Operating contribution before remaining costs $1,550

$1,550 is not property profit. Management allocation, utilities, maintenance, insurance, financing, capital costs and taxes remain outside this illustration. Guest service fees and guest-collected taxes can also make checkout total higher than $2,200.

Damage reimbursements and retained deposits should not quietly inflate recurring room revenue. Agree the appropriate treatment with your bookkeeper, and keep their supporting transaction trail.

    The owner/co-host handoff

    1. Freeze a reporting window and basis before exporting.
    2. Download platform earnings/payout reports and bank activity securely.
    3. Match each reservation to deductions and payout IDs; flag unmapped adjustments.
    4. Separate pending, paid and bank-cleared statuses.
    5. List variances with amount, age, responsible person and next action.
    6. Apply vendor invoices and management compensation once; identify any platform-deducted co-host compensation first.
    7. Give the owner an exceptions sheet, not a misleading gross-total screenshot.
    8. Save reports and approver signoff; send tax/accounting questions to the appropriate professional.

The coordinator can assemble evidence. The owner retains control of financial access, refunds and decisions. A monthly scorecard should reference this reconciliation rather than asking the owner to inspect every guest message.

Compare management models on the same base

A 20% management fee can apply to different contract bases: rent only, cleaning-inclusive receipts, or another definition. Read the actual agreement. Flat monthly fees are separate expenses, not platform deductions unless the payment record says otherwise. The current $465 Airbnb + Vrbo Coverage offer is guest-coverage across channels—not a Revenue Management bundle. Revenue Management is consultation-only for new inquiries.

For a decision about operating workload, use the savings calculator and service plans. Include local cleaners, repairs and supplies in either model; the calculator is not a substitute for the actual bank reconciliation.
