What evidence and deadlines should I give my co-host for guest damage claims?

A platform-specific damage-claim handoff: preserve evidence, distinguish Airbnb Help and terms deadlines, and separate Vrbo deposits from insurance claims.

Short answer: Inspect after checkout, preserve dated evidence, identify the exact protection product and claim clock, and have the owner approve a supported amount before submission. Do not assume Airbnb and Vrbo use the same deadline—or that filing guarantees reimbursement.

Normal wear, routine cleaning and an insurer’s covered loss are different questions. A cleaner’s photo supports an investigation; it does not prove guest responsibility by itself.

Start with safety and the reservation record

If damage creates an immediate hazard, arrange qualified local help and contact emergency services when needed. Do not leave danger in place just to preserve a photograph. Record the reservation ID, checkout time/time zone, discovery time and person who discovered the issue. Save the safe before/after evidence before repair or disposal where practical.

The same-day inspection is our recommended operating control, not a claim that every platform requires filing before the next guest arrives. A next guest can make attribution harder; that is a reason for prompt records, not an invented official deadline.

Airbnb’s Help guidance and terms use different clocks

Airbnb’s Help guidance says to request reimbursement in the Resolution Center within 14 days of the responsible guest’s checkout; the guest has 24 hours to respond. It also instructs hosts to involve Support and submit supporting documentation within 14 days of the damage or loss. Airbnb Host damage protection Help.

The Host Damage Protection Terms displayed as updated August 1, 2026 separately require best efforts to recover from the guest and notice to Airbnb within 14 days of checkout, and a completed payment request with legitimate, verifiable evidence within 30 days of checkout (§§3.1.2 and 3.3). These are distinct requirements, not permission to ignore the Help article’s earlier evidence instruction. Airbnb Host Damage Protection Terms.

Operational rule: work to the earlier applicable instruction, start promptly, and confirm case-specific deadlines with Airbnb. Never tell a cleaner or co-host they can safely wait 30 days to send evidence.

Platform/product Clock to capture Submission control
Airbnb Host damage protection Checkout date; damage/loss date; 14-day Help instructions; terms’ distinct 30-day outer requirement Guest request, Support escalation and evidence receipts saved separately
Vrbo refundable damage deposit 14 days after checkout Complete itemized amount before the first withholding claim
Vrbo Property Damage Protection or other insurance Actual insurer/policy deadline Obtain policy, covered-loss instructions and insurer submission receipt

Vrbo says deposit claims must be made within 14 days after checkout, cannot exceed the deposit, and cannot be split into multiple partial withholdings after the first claim. Do not file a small placeholder and assume you can add another claim later. Vrbo damage-deposit claim. Deposit treatment is not an insurance policy: Vrbo damage-deposit explanation.

    Build a private evidence packet

    • Dated pre-arrival and post-checkout photographs: context, location and close-up, not just an isolated broken item.
    • Cleaner/responder statement distinguishing direct observations from assumptions.
    • Item model, approximate age, purchase receipt if available, repair estimate and actual invoice when received.
    • Special-cleaning description, hours, agreed rate and reason it exceeds normal turnover.
    • Relevant on-platform communication, reservation ID and timeline.
    • Requested amount with repair/replacement rationale; no inflated betterment or invented receipts.
    • Owner approval, platform claim ID, evidence upload receipt and each deadline.

Keep original files and personally identifying material private. Do not demand review removal, a good review or silence in return for reimbursement. Do not accuse a guest beyond what the evidence supports.

Name who can submit and who can approve

    Task Coordinator/co-host Owner
Discover and document Collect factual observations; arrange approved safe response Authorize consequential repairs/spending
Prepare claim Assemble evidence and calendar deadlines Approve supported amount and strategy
Submit Use supported account permissions; retain receipt Handle owner-only verification or account requests
Close Track requested, approved, received and denied amounts Resolve disputed decisions and accounting treatment

Use an alternate approver and a deadline escalation path. Claim clocks do not wait for the monthly owner meeting. Give vendors an earlier internal evidence cutoff, clearly labelled as your own process.

Close with money and repairs—not just a case number

Log the claimed amount, platform decision, actual reimbursement, remaining repair cost and bank/payout reference. Reconcile it once so a refund, deposit or reimbursement is not counted twice. The local responder confirms the property is safe and ready; the owner confirms the financial record is complete.

Airbnb Host damage protection has conditions and exclusions and is not a substitute for appropriate insurance. An incomplete, late or excluded claim can be declined. Airbnb protection guidance.

    Delegate the evidence collection deliberately

Airbnb Essentials can support guest communication and vendor coordination while the owner retains refund and repair authority. Discuss the claim-support scope and permissions before assuming a co-host handles every filing. Compare your costs after defining the handoff—not before.
