How do I prepare a vacation rental for winter when I am not local?

Delegate winter inspections, freeze and storm preparations, guest instructions and post-outage checks with named local responders and documented signoff.

Short answer: Commission a property-specific local inspection, assign forecast-triggered tasks, test alerts and arrange a real physical response. A thermostat app is not proof that pipes, roads or entryways are safe. Occupied rentals and closed/winterized homes need different instructions.

This is a delegated operating checklist—not an amenities article or a guarantee against freezing, storms or property damage.

Start with the home’s actual risks

Ask qualified local HVAC/plumbing professionals to identify vulnerable pipes, heating limits, shutoffs and occupied/vacant procedures. Include wind, ice, snow, power interruptions, road access and coastal storm exposure where relevant. Follow local requirements and equipment manuals rather than a universal checklist number.

The Red Cross recommends leaving heat on no lower than 55°F when away in cold weather. That is a baseline recommendation, not proof that every building or exposed pipe will be safe at that setting. Professional advice, construction, exposure and insurance conditions may require different measures. Red Cross frozen-pipe guidance.

A pre-season work order with proof

Asset/risk Local role Proof to return Owner decision
Heat/HVAC Qualified service provider Inspection/service report and operating limits Approve needed repairs and vacant-home settings
Plumbing/freezing Qualified plumber Vulnerability list and approved system procedure Approve insulation/winterization scope
Entry, steps and snow Local grounds/snow provider Access inspection and service agreement Approve trigger and spend limits
Alarms and sensors Appropriate local technician/checker Functional test and location record Confirm local/manufacturer requirements
Backup access/shutoffs Vetted local responder Private location/label verification Authorize who can use them

Photos of shutoffs and access instructions belong in the restricted property file, not the public listing. A guest-facing checklist should explain safe behavior and who to contact, not expose credentials or invite hazardous repairs.

    Practical seasonal checklist

    1. Complete local HVAC/plumbing checks before the property’s risk season.
    2. Protect vulnerable plumbing and disconnect/drain outdoor hoses where the system’s instructions call for it.
    3. Test temperature/leak alerts and identify who receives them. Verify the escalation still works if internet or power fails.
    4. Confirm safe heat settings for occupied and vacant conditions separately. Do not allow guests to disable necessary protection.
    5. Arrange snow/ice response and inspect railings, lighting and access routes.
    6. Test smoke/CO alarms under manufacturer instructions and applicable local law.
    7. Stage suitable emergency supplies and clear guest instructions without suggesting unsafe equipment use.
    8. Confirm the local responder, alternate, travel/access limits and approved spending.
    9. Schedule an in-person check after an outage, major freeze or thaw where the professional property plan calls for it.
    10. Save signoff and unresolved issues before approving the next guest arrival.

Airbnb strongly encourages smoke/CO alarms and requires accurate safety information and compliance with applicable safety law. Do not describe that recommendation as a new universal November 2026 alarm purchase rule. Airbnb alarms, safety guidance.

Forecast-triggered response is different from a monthly task

Write down which forecast or sensor condition activates the local check, who accepts it, what they inspect and what evidence closes it. Thresholds and response timing are owner/professional operating choices, not a Vacohost monitoring SLA. Do not rely solely on an automated alert being delivered.

For guest stays, send relevant road/access/weather information and explain the emergency contact. Do not advise guests to put generators indoors, use open flames to thaw pipes, disable alarms or climb onto unsafe roofs. Serious hazards go to emergency services and qualified local help.

If freezing or water damage is suspected, the local responder follows the approved system plan. The remote coordinator should not improvise a technical repair from a message. Protect people first, then preserve safe evidence for the owner and insurer.

    Vacant does not mean unattended

Closing a property for the season may require professional winterization and insurance-specific checks. Do not apply an occupied-home heating checklist automatically to a drained/closed system. Record who verifies the property, how access works during snow or outages, and who may authorize emergency work.

Before reopening, obtain an actual readiness check of heat, water, access, alarms and known hazards. Review listing amenities and instructions if seasonal conditions changed.

Hand off coordination with local roles intact

Airbnb Essentials supports guest messages and cleaner/handyman coordination; the owner remains responsible for repair approvals and a suitable local network. Compare your costs, including seasonal maintenance and local response—not just a remote service fee.
